Spotlight: Miramonte, CA
If RevTrak had an Online Registration Hall of Fame,
champion Trish Stuber of Miramonte High School in Orinda, CA would be among
the first inductees.
Prior to the launch of online
registration, Miramonte High School conducted 16 hours of walk-in
registration over the course of 2 days.
After the conclusion of each 4 hour session, school officials
embarked on the task of accurately reconciling $100,000-$150,000 to various
account codes and departments. “If
you’re good, it would take you an hour.
If you’re not, it would take you more than two,” describes Stuber.

After 5 years of conducting online registration, Stuber
cannot imagine it any other way. “To
do registration without RevTrak is just impossible!” Stuber exclaims, “It
would be a nightmare.” RevTrak is
“safer, better, and cleaner. You
don’t lose cash, and you don’t lose checks.
Just as a security thing, it is all worth it!” Today, the accomplished Stuber can
proudly say “there isn’t a thing that we collect at school that isn’t on
the web store.” Therefore, despite
some initial apprehension from parents, Stuber deserves the boasting rights
of 100% parent use within her district.

“My parents and teachers absolutely love it! I have parents that actually search the
web store to know what is going on at school,” explains Stuber. Beyond purchasing on the web store, Stuber
has also enabled all parent groups and organizations to be able to collect
fees online. “There isn’t a parent
[group] that wouldn’t use the web store to collect fees,” explains Stuber,
“They just wouldn’t collect money any other way.”
Based on her overwhelming success, Stuber
encourages districts to process fall registration online. “Why wouldn’t you do it,” questioned
Stuber. “Times are changing and
people don’t have the time to do what they did before; you just have to see
the difference between schools who utilize it compared to a school that
doesn’t do online registration…It is definitely worth it.”

Launching into a new era of online registration,
Stuber developed a registration strategy complimentary to her school’s
needs. Beginning with the basic
registration process, Stuber casually implemented the web store in 2005 for
parents who wished to register and pay online. After the first year, Stuber proactively
campaigned for online registration, encouraging parents to take advantage
of the web store. Stuber’s
infectious enthusiasm quickly spread to other departments, parent groups
and school organizations who requested use of the web store. “The first year,” recounts Stuber, “you
have to come up with something that is on the simple side. After the first year, you can go more
complex.”
Today, Stuber’s efforts have revolutionized
Miramonte’s fall registration.
Pairing the Miramonte web store with an online data collection
software, Stuber ingeniously created a step-by-step online registration
procedure. Utilizing this procedure,
parents are able to complete all forms and process payments beginning 2
weeks prior to registration day.
“The luxury of parents being home and having 2 weeks to fill out
forms, gather information and pay for everything is huge,” emphasized
Stuber. After forms are gathered and
the payment is processed, parents simply print and sign the registration
papers for their student to bring to school.
Beyond parental convenience, Stuber’s efforts have
transformed Miramonte’s walk-in registration from a 16 hour ordeal to a 6
hour cinch for school officials and parents. With online registration, Stuber explains
that “all registration questions are pre-answered by the time the students
come to registration.” According to
Stuber, walk-in registration is simply conducted to photograph students for
ID pictures, collect signed forms, and distribute student IDs, schedules,
and agendas. “You do not have to
physically process everybody because everybody is doing it at home, on
their own time,” explains Stuber. In
addition to efficiently managing students, online registration ensures that
“the exact amount of money is allocated to the correct account codes prior
to walk-in registration,” explains Stuber.
