At Eanes ISD in southwest Austin, Texas, meal payments were a daily operational headache. Cafeteria managers ended every school day counting cash, reconciling checks, and recording payments by hand — a time-consuming process that had nothing to do with feeding students.

Negative account balances were difficult to track and harder to recover. Families paid inconsistently, cash got lost in backpacks, and the administrative burden kept growing. Something had to change.

Implementing RevTrak

Steve set out to find a better way. The answer was connecting RevTrak with the Skyward Food Services module — giving the district a fully integrated solution that linked online payments directly to student accounts, without any manual entry in between.

RevTrak also gave Steve a straightforward way to keep accounts funded: automated low-balance email reminders that take less than a minute to send. The result was more students entering the lunch line with funds available — and fewer negative balances for the district to manage.



Results

The shift to RevTrak produced measurable financial outcomes from the start. Revenue grew 90% in year two over year one, and continued climbing 50% year-over-year through years three and four. More students with funded accounts meant more participation — and more opportunity to offer a wider variety of meal options.

Today, 99% of all student lunch account payments at Eanes ISD are made online. Cash and check have become the exception, not the rule — and the end-of-day paperwork that once burdened cafeteria managers has nearly disappeared.

The debt picture shifted just as dramatically. Across 8,000 student accounts, total negative balances district-wide sit at less than $600 — a figure that would be difficult to achieve without a frictionless way for families to stay funded.

“I don’t want there to be any reason why a parent cannot make a payment. Giving parents multiple options for adding funds to their child’s account gives our staff the opportunity to increase sales by providing a wider variety of high-quality food options for students to choose.”
